To data merge from an Excel file into Adobe InDesign, follow these steps:
Step 1: Prepare Your Excel File
- Format Your Data: Ensure your Excel file has a clear header row with descriptive column names. Each column should represent a different variable (e.g., names, addresses, etc.).

Save as CSV: Save your Excel file as a CSV (Comma-Separated Values) file. Go to
File > Save As
, chooseCSV
from the format options, and save.
Step 2: Set Up Your InDesign Document
- Open InDesign: Launch Adobe InDesign and create a new document.
- Create a Template: Design your layout as needed, including text frames and image frames for where your data will go.
Step 3: Import the CSV File

Open the Data Merge Panel: Go to
Window > Utilities > Data Merge
to open the Data Merge panel. -
Select Data Source: Click on the panel menu (three horizontal lines) in the top right corner and choose
Select Data Source
. Locate your CSV file and open it.
Step 4: Insert Data Fields
- Insert Data Placeholders: In the Data Merge panel, you’ll see the column headers from your CSV file. Drag and drop these fields into your text or image frames where you want the data to appear.
- Format Placeholders: You can format these placeholders (like any other text) to match your design.
Step 5: Preview the Merged Data

Preview Your Data: Click on the
Preview
checkbox in the Data Merge panel to see how the merged data will look in your document. You can cycle through the records using the arrows in the panel.
Step 6: Create the Merged Document

Merge the Data: Once you’re satisfied with the preview, click on the panel menu again and select
Create Merged Document

Set Options: In the dialog box, choose your settings (e.g., all records, specific range). Click
OK
. - Finish the Merge: InDesign will create a new document with all the merged records based on your template.
Step 7: Final Adjustments
- Edit as Needed: You can make final adjustments to the layout and formatting in the newly created merged document.
- Save Your Work: Don’t forget to save your merged document.
Tips
- Ensure your data in the Excel file does not contain extra spaces or formatting issues.
- Test with a small dataset first to ensure everything works as expected.
- Remember that image paths must be correctly formatted in your CSV for images to be imported.
This process allows you to efficiently create multiple variations of a layout, such as personalized letters, labels, or catalogs, using data from Excel.
